Frank/Kym to create dedicated email address for speaker requests and add link to website (who should requests 
be forwarded to?) 
Stephen and Johna working together on 2016 “Letter from the President” to include thank you to sponsors and 
members (to show the importance of their $$ in providing quality events) and to set the tone/expectations for 
NYCBTA (to be education/networking/relationship building focused, NOT for solicitation!).  Due date for posting 
to the website: first week of January. 
**Moving forward, we will update the letter quarterly and the responsibility will be rotated to each Board 
Member (from your own point of view)**   
EVENT PRICING FORMULA  
First 40 Buyers who attend/sign up are FREE 
Members pay $xx to register and receive (1) Raffle Ticket 
Guests pay $xx PLUS $30 to register and will have to pay for Raffle Ticket 
Buyers pay $0 (first 40) to register and will receive (2) Raffle Tickets 
 
SPONSOR DOLLARS 
When we utilize a sponsor’s $$ towards something, we will now send them an email 
advising so that they have it for their records. 
 
INVOICES 
All invoices MUST be ITEMIZED, including fees, moving forward. 
Kym to partner with Bill on tweaking Sponsorship Grid.  Include ability to link for a promo ad.  Due Date: 
December 14

Kym to partner with Bill on creating email just to hoteliers to solicit sponsorships to “subsidize” our events.  Work 
within tiers. 
 
Team to participate in obtaining Raffle Prizes AND Membership Perks! 
 
Examples of Giveaways: Gift Cards to Restaurants, Spas, Hotels, etc. 
Examples of Membership Perks:  10% off at xyz restaurant if you’re a member, 15% off at all Marriott 
Hotels, etc. 
 
Frank to look into partnering with other organizations to Co-Sponsor Events. 
 
KEY TAKEAWAY: Every time ANYONE starts the Sponsor process, COMMUNICATE it to EVERYONE.  Otherwise, we 
may end up with double bookings, etc.
