How to grab your futures clients’ attention when you are applying for a new project that will impress?

A Value Proposition Cover letter to convince the recipient company to award the desired contract or job to the proposing company. There should be a clearly stated intention by the proposing company, with relevant impressive information, in the contents of the letter to the recipient for favorable consideration in awarding the contract.

There are differences between the terms "value proposition cover letter", “business proposal”, although they are sometimes used interchangeably. 

A Value Proposition Cover letter is basically a summary that:
  • Identify all the benefits your project/product/service offers;
  • Describe what makes these benefits valuable for the customer, and customer-of-the-customer;
  • Identify your customer's main problem;
  • Connect this value to your buyer's problem;
  • Differentiate yourself as the preferred provider of this value.

On the other hand, a business proposal is created to offer a product or service to a customer or end-user. On the other hand, a business plan is a plan that explains how business goals can be reached. The latter is only part of what is included in a business proposal.

Components of a good letter proposal:
The letter should begin with a reference to your prior contact with the funder if any. State why you are writing and how much funding is required from the foundation. In a much-abbreviated manner, tell the funder why there is a need for this project, piece of equipment, etc. Just as you would in a fuller proposal, provide enough detail to pique the funder’s interest. Describe precisely what will take place because of the grant. Help the funder know a bit more about your organization by including your mission statement, a brief description of programs offered, number of people served, and staff, volunteer, and board data, if appropriate. Include appropriate budget data: Even a letter request may have a budget that is a half-page long. Decide if this information should be incorporated into the letter or in a separate attachment. Whichever course you choose, be sure to indicate the total cost of the project. Discuss future funding only if the absence of this information will raise questions. As with the longer proposal, a letter proposal needs a strong concluding statement. Attach any additional information required:

The funder may need much of the same information to back up a small request as a large one: a board list, a copy of your IRS determination letter, financial documentation, and brief resumes of key staff.
It may take as much thought and data gathering to write a good letter request as it does to prepare a full proposal. Don’t assume that because it is only a letter, it isn’t a time-consuming and challenging task. Every document you put in front of a funder says something about your agency. Each step you take with a funder should build a relationship for the future.

There are a few basic requirements for a Value Proposition Cover Letter, they should include the following: 

  • brief, preferably one-pager or max a few pages in length;
  • structured and written to highlight your strengths;
  • brief, preferably one page in length;
  • clean, error-free, and easy to read;
  • immediately clear about your name and the position you are seeking;
  • expands upon your resume; do not repeat it verbatim;
  • includes the person’s full name if you do not know the gender;
  • limited to 3-4 paragraphs and 1 page;
  • using common business letter format;
  • no copying of exact words/phrases from sample letters without checking the context;
  • uses the correct name of the organization;
  • enthusiastic! Show off your character and personality.
