There are a few basic requirements for a Recommendation Letter. Every letter should respect the following principles:

  • Structured and written to highlight strengths of the person you recommend;
  • Clean, error-free, and easy to read;
  • Immediately clear about the name and the position of person you write the character witness for;
  • Be Enthusiastic! Show off the character and personality of the person;
  • Provide descriptions of your contributions to the work/academic environment related to completed tasks on time or the persons' strengths;
  • Always use action verbs to describe the persons' accomplishments, skills, and strengths;
  • Make sure to use the active voice which indicates that you completed tasks and demonstrated desirable behaviors. Since the passive voice can indicate that events happened with or without your active involvement;
  • Explain how the person performed the responsibilities required, and therefore it’s good to study some appealing anecdotes;
  • If possible, a statement indicating people would re-hire you or collaborate with you on another project;
  • Using common business letter format;
  • No copying of exact words/phrases from sample letters without checking the context;
  • Uses the correct name of the University or organization you are writing the letter to;
  • Contact information including his or her full name, appropriate title, address, phone number, and/or e-mail address;
  • Expands upon their resume; do not repeat it verbatim in your reference letter as well.

Do’s of reference letters:

  1. Make sure the person recommending you knows you well enough to make a good recommendation. 
  2. Request recommendations from employers, professors, school administrations, and anyone else with first-hand knowledge of your skills and experience.
  3. Send an email rather than asking for the recommendation in person.
  4. You should explain the reason for needing a reference letter to the letter writer.
  5. Your letter should include specific skills, experience, and qualifications. 
  6. After the reference letter writers have written you a letter, send them a "thank you" note.
  7. If you need to use the letters again in the future, ask permission to keep copies.

Don’ts of reference letters:

  1. It is better to act sooner rather than later. In the shortest possible time, secure reference letters.
  2. Request accurate information and don't accept secondhand information.
  3. Forgetting signatures is never a good idea. • 
  4. References shouldn't be chosen based on a person's title. Find someone who can verify firsthand how you are qualified for the position based on your experience, skills, and abilities.
  5. Do not hesitate to ask for as many references as possible. If you are qualified for the position, please submit the letters that demonstrate your qualifications.
  6. Don't forget to say "please" and "thank you." References and recommendations can be invaluable.
